How to make an appointment and explain a request in Spanish in Barcelona

Making an appointment in Spanish can be stressful if you are still learning and need to understand specific details. Preparing an opening sentence and a short list of questions helps you keep the conversation going. This article provides general language tools; the procedures and required documents depend on the service and should be confirmed with the relevant organisation.

Before calling or visiting

Write down the reason for your enquiry in one sentence, the days and times that suit you, and the details you may need to confirm. Keep pen and paper ready. If you need to explain a problem, organise the information as follows: what is happening, since when, and what you need to know. Avoid preparing a long story; answer the questions you are asked.

A simple opening script

Buenos días. Quería pedir una cita para consultar… ¿Me podría indicar qué disponibilidad hay? (Good morning. I would like to make an appointment to ask about… Could you tell me what times are available?) You can then ask ¿Qué documentación debo llevar? (What documents should I bring?), ¿Hay que pedir cita para este trámite? (Is an appointment required for this procedure?) or ¿Dónde debo presentarme? (Where should I go?). Quería is a polite form; you can also say quiero pedir una cita (I want to book an appointment).

Confirm the important information

Repeat the date, time, address and any instructions: Entonces, la cita es el jueves 14 a las diez, en la segunda planta, ¿correcto? (So the appointment is on Thursday the 14th at ten, on the second floor, correct?). If the reply contains a number or a name, ask the person to repeat or spell it. Write it down and read it back to check.

Phrases for when you lose track

  • ¿Podría hablar un poco más despacio? (Could you speak a little more slowly?)
  • ¿Me puede repetir la última indicación? (Could you repeat the last instruction?)
  • No he entendido el nombre; ¿me lo puede deletrear? (I didn’t catch the name; could you spell it for me?)
  • Un momento, lo estoy apuntando. (One moment, I’m writing it down.)

After the call

Full example phone conversation

—Good morning, I would like to make an appointment to discuss an administrative matter.
—What times are you available?
—Tuesday morning would suit me. Is there a time available?
—At ten.
—Perfect. Could you confirm the address and what I should bring?
—So, Tuesday at ten on … Street. Have I written that down correctly?

Practise this dialogue by changing the reason, the day and the last question. If it is a real call, listen carefully to the specific instructions for that service and do not assume the documents or steps are the same for every procedure.

Review your notes and separate confirmed instructions from outstanding questions. If something remains unclear, contact the service again with a specific question. You can rehearse these conversations in our private Spanish classes.
