Spanish vocabulary for everyday paperwork in Barcelona

Spanish vocabulary for everyday administrative procedures is easier to use when organised by stages: requesting information, preparing documents, attending an appointment and confirming what remains to be done. The words in this guide are general; the requirements of each procedure vary and must be checked with the relevant organisation or service.

Common words and how to use them

  • Cita (appointment): a meeting booked for a specific date and time. ¿Necesito pedir cita? (Do I need to book an appointment?)
  • Trámite (administrative procedure): a process carried out with an organisation. Quiero consultar un trámite. (I would like to ask about a procedure.)
  • Solicitud (application): a formal request. ¿Dónde presento la solicitud? (Where do I submit the application?)
  • Plazo (deadline or time limit): the period available to do something. ¿Cuál es el plazo? (What is the deadline?)
  • Justificante (supporting document): a document proving an action or circumstance. ¿Me pueden enviar un justificante? (Could you send me proof?)
  • Resguardo (receipt): a document confirming that something has been submitted or received.

Questions that help clarify the steps

Practise ¿Qué documentación debo llevar? (What documents should I bring?), ¿Cuál es el siguiente paso? (What is the next step?), ¿Dónde puedo entregar este formulario? (Where can I hand in this form?) and ¿Me puede confirmar el horario? (Could you confirm the opening hours?). If a word is new to you, ask for an example: ¿Me podría explicar qué significa resguardo en este caso? (Could you explain what resguardo means in this case?).

Organise your notes effectively

After a call or visit, note four things: the person or service, date, agreed action and outstanding question. Separate what has actually been confirmed from what you are assuming. This prevents one particular experience from becoming an incorrect general rule.

Rehearse before handling a procedure

Role-play a two-minute interaction. Begin by explaining what you need, answer two imaginary questions and finish by confirming the date, location or next step. If you will be speaking on the phone, also practise spelling names and repeating numbers slowly.

Practice dialogue: asking for clarification

—Good morning, I wanted to ask about the deadline for this application.
—You can submit it until the 20th.
—Including the 20th?
—Yes.
—Thank you. Could you tell me where to find the form?

Notice how the speaker asks about an exact date and a specific place. Replace plazo (deadline) with horario (opening hours) or documentación (documents) and make up new questions. In a real situation, verify the information with an official source rather than relying on an example you practised.

These expressions are useful across different services and situations in Barcelona, but are no substitute for official information. Practise everyday dialogues in our in-person Spanish courses in Barcelona.
